Job Description

We are currently hiring for a Customs and Traffic Coordinator for our Ottawa location. We are looking for someone with excellent attention to detail and data entry experience. In accordance with company policies and procedures, you will coordinate Customs and Traffic activities including

  • Verifies internal and external documents and resolves discrepancies
  • Works with the Broker, Contracts, Supply Chain, etc. to establish customs and shipping requirements: selects and prepares Customs and Traffic documentation (e.g. Packing Slips; Certificate of Conformance);
  • Makes necessary arrangements with external sources associated with shipment (e.g. customer, transportation company, etc.)
  • Liaises with shipping company(s) for special requirements; initiates and expedites tracing action on delinquent shipments.
  • Data entry into various computerized systems; archives Customs and Traffic files.
  • Other related duties such as coding and submitting freight and customs invoices to accounts payable, maintain files, duty drawback with customs, etc.

Qualifications

  • Equivalent to a Grade 12 level of education at a secondary school.
  • Requires over 2 years, up to and including 3 years of relevant experience in a shipping environment. Basic computer skills to efficiently enter locate and retrieve data and/or documentation

Initiative and Accountability

  • Work is generated by the Shipping requirements which are entered on-line in ERP system and manual shipping system by internal customer. Ensure that multiple and competing daily shipping requirements are met; must work with internal customers to determine daily priorities; set priorities for pick-up; work is monitored by task progress/completion and quality.
  • Uses initiative to: prepare for import/export requirements from initiators e.g. Contract Administrator or Shipping department; to learn and implement new Customs and Traffic processes and methodologies
  • Contributes ideas to improve processes.
  • Accountable for the timely completion and quality of own work; positively impacts internal/external operations through accuracy of documentation avoiding additional duties on shipments or delays in delivery. Must ensure proper paperwork is sent to external customers and/or Customs, as require

Communication and Giving Guidance

  • Communicates effectively (verbal/written) with team members. Daily contact inside and outside the Company to clarify requirements and to provide information e.g. Contracts Administrators, Shipping staff, Q.A. personnel, Suppliers, Customs Brokers, transportation company personnel, Canada Customs and CF QAR, etc.
  • Provides general work guidance to other divisions regarding customs requirements.
  • Assists other team members to achieve assigned tasks. Keeps supervisor and team informed of progress and situations requiring attention of others.

Working Environment

  • Minimal physical effort. Required to sit extensively in work station to perform work e.g. computer, telephone, etc., with regular movement in immediate area to fax and photocopy. Moderate repetitive hand/finger movements for keyboarding/mousing.
  • Significant visual attention and concentration frequently required for reading, reasoning, comparing and transcribing to ensure accuracy.
  • General office environment. Multiple and/or tight deadlines. Frequent interruptions by internal/external sources.

It is a requirement that General Dynamics Mission Systems-Canada be registered with the Canadian Controlled Goods program and that all of its workforce be security assessed. Successful applicants must meet all applicable security requirements, including but not limited to the ability to obtain and maintain a Canadian government security clearance. Applicants may be required to meet additional security requirements in order to gain access to technical data, classified areas or information that is subject to international regulations. You must be eligible to work in Canada.

Additional Information

The hourly rate hiring range for this position is $25.00 - $29.68. This is a 40 hour work week.
