HOW AN ADMINISTRATIVE ASSISTANT IV WILL MAKE AN IMPACT:
- Working in a discreet environment handling sensitive and personal information daily
- Completing transactional duties with special attention to detail, being organized, and multi-tasking
- Interacting with our ongoing POC customers, team members/Leads, and employees via phone, Skype or email
- Handling and receiving incoming and outgoing correspondence
- The Administrative Assistant is a central part of the front office staff.
As an Administrative Assistant IV, your day-to-day responsibilities will include:
- The Administrative Assistant must exhibit an executive presence that supports these initiatives
- There are approximately 350 people in the Mission Center and the candidate will interact with individuals at all levels
- The Administrative Assistant (AA) will support the Sponsor Mission Center through supporting front office seniors and numerous Department Chiefs
- The AA's primary responsibility will be to successfully manage the high volume of taskings that come to Mission Center and the Departments every day
- The Administrative Assistant must be able to take initiative for tasks, be effective when working individually and contribute to our team environment
- The AA must establish and maintain positive and productive relationships with the Mission Center Front office team
- The AA will be expected to have strong interpersonal skills, to be able to communicate clearly verbally and in writing, and to be well-organized
- As a part of our administrative and support team, the Mission Center will look to the AA to contribute to office activities and help teammates in a variety of ad-hoc ways
- The Administrative Assistant (AA) will be asked to use Outlook in daily communications in response to, and the delegation of different taskings
- The AA will be asked to use Word to assist departments with edits in track changes, formatting documents properly, and creating responses to taskings
- The Administrative Assistant will mainly be reading official Internal Communications and knowledge of the Sponsor Internal communication system is a plus
- Knowledge of, and the ability to update the mission center website and knowledge and understanding of SharePoint is desired and knowledge of the Sponsor's communication systems is a plus
- The AA will have to use the following databases when requests arise: Sponsor's access request, Sponsor memo, Sponsor voucher, supply, travel, logistics, and procurement systems, calendar management and sponsor unique applications
- The Administrative Assistant (AA) will be assisting the office with taskings using the corporate action tracking database used by all the centers across the Sponsor
- The candidate will primarily use Outlook, OneNote, and the TaskIT database to receive, process, distribute, compile, and answer a high volume of taskings across the Mission Center and Departments
- This Administrative Assistant position requires strong proficiency in the Microsoft Office Suite of products to include Outlook mail, calendar, and WORD as these programs are used daily
- The AA will also need a basic level of proficiency in the use of PowerPoint and Excel
- There will be opportunity for some overtime, if desired
- The position sits in McLean, VA and there is no travel required to other locations
- No lifting, or moving of heavy items is required with this position
WHAT YOU'LL NEED TO SUCCEED:
- The position requires an active TS/SCI with Polygraph clearance
- High School Diploma and seven (7) years of relevant experience or equivalent combination of education and experience
- The AA should arrive between 7:00-9:00 and depart between 4:00-5:30 with the core hours of the position being 7:30-3:30; this position requires a standard schedule consisting of 8 hour workdays 5 days a week
- Proficient Word, Excel, Outlook, PowerPoint
- Able to perform duties with minimal supervision and some team interaction
- This position is on customer site

The likely salary range for this position is $132,964 - $152,909. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
